Creating Hosts

Hosts are individuals (contact persons) responsible for organizing and overseeing visits.

It's essential to create hosts in advance as you will then associate a host with a visit during the visit creation process. If there is no intention to link hosts to visits, this step can be ignored.

To create a new host, follow these steps:

  1. Go to the "Hosts" tab in the "Check-in" menu and click on the "Create" button.

  1. Fill in the necessary information, including:

  • Basic data: First Name, Last Name, Description (optional), Email, and Phone number.

  • Show in Phonebook: If the box is ticked, the system shows this contact in the Call and Company Directory components.

  • Extension number: An internal numerical identifier assigned to a contact, allowing for communication with a specific contact person within an organization. This number is typically used in phone systems to route calls directly to the intended individual or department.

  • Address, Department, and Position.

Pay attention to the required and unique fields configured in the 'Fields and data' section of Settings. The fields are customizable - if you need additional ones, feel free to reach out to a friendlyway representative.

  1. Click the "Save" button.

Uploading Hosts from File

To upload hosts from a file:

  1. Match the column names in your CSV file with the fields configured in Settings.

  2. Click on the upload icon button.

  1. Select the CSV file.

Viewing and Editing Hosts

The list of manually added or uploaded hosts is then maintained in the "Hosts" tab, allowing for easy selection when creating a visit.

By clicking on the table row or selecting "Edit" in the context menu, you can open the detailed information about the host and modify the details.

Deleting Hosts

Through the context menu, you have the option to delete a specific host. Once deleted, the host will be removed from the list of hosts.

However, it's important to note that the system will retain visit data and not delete it.

Additionally, you can utilize bulk operations to delete multiple hosts.
